Notaide™ - Office Automation for Notaries


Notaide ™ is a job management system designed for Maltese Notaries. It is based upon our Blaide.NET Framework and offers a built in organiser, messenger, contacts directory, and time billing module. Notaide is still under development and changes will be made before the official release date, so contact us for more information.

 
Current Work Module
 
Manage and Organise your active Jobs

The Current Work module acts as your interface to the rest of the System. From here you can manage Job Files, Events, Tasks, Documents, Activities and Key Dates. Visual workflows and timelines allow for Job Progress to be monitored graphically.

 
Tasks Module
 
Manage, Delegate and Follow Up Tasks

Tasks are assigned automatically according to Job Type. Users can then add to these tasks and choose to delegate them to colleagues / assistants whilst tracking their progress. Time to perform tasks is reserved in the Calendar and is monitored automatically for Time Billing.

 
Documents Module
 
Order & Index Documents and Track Costs

Create a Job and request Documents through the system. Requests are made to your employees and certain documents can also be ordered directly through the internet. Track the status of each document and automatically reflect the costs in the final invoice.

 
Clients Module
 
Powerful Client Management Tools

Use our Client management tools to store client details, group clients together according to Job, and list all current and published Jobs for any client at the click of a button. Link Clients to their client accounts and check all transactions made on their behalf.

 
Published Work
 
Manage and Track your Published Deeds

Once a deed is published, the Job is linked to the published work module. Here users can keep track of land registry applications and public registry enrolments. Also the system will track the duty that needs to be paid. Finally users can benefit from the automatic generation of the end of year deed index as required by law.

 
Contacts Module
 
Store and Locate your contacts with ease

An integrated Contact directory picks up contact details as you go along. This results in an impressive contact directory over time. Use the messenger integration to send emails and alerts to clients and contacts. Link contacts into intelligent contact groups.

 
Calendar Module
 
Powerful Time Management & Scheduling

Our powerful calendar is provided to allow you to visualise your workload for each day / week / month. An intelligent scheduler suggests free timeslots, detects clashes and reserves time for you to perform your tasks. Drag and drop events with ease to manage your time efficiently.

 
Time Billing Module
 
Track the time you spend on each Job

Time Billing features have been requested and are being embedded into the system. An innovative system is being used to guess the amount of time you have spent on each Job. Use timers to accurately record activities such as phone calls and appointments. Use the resulting counters to give indications of how much to bill.

 
Invoicing & Accounts Module
 
Gain control of your finances

Invoicing keeps track of expenses and disbursements encountered during the lifetime of a Job. You then enter your professional fees and send the invoice directly to the client. Time billing counters can also be used as guidelines. The system also follows up invoices and identifies whether they are outstanding. You can also choose to send receipts, reminders and invoices to the client. Use financial reports to help you with your end of year statements.

Use client accounts to track the money that you are holding for clients and ensure that you are paid any money that is owed to you. Break down balances into itemised transactions to view a history for each client account.

 
Messenger Module
 
Fast and efficient communication

The embedded messenger allows users to send emails and to send and receive internal messages within the office. Send emails to colleagues and clients and file all Email Correspondance under each Job. Email templates are also included to allow standard emails to be written automatically.

 
Online Backup
 
Off-Site Data Protection

Take advantage of an optional backup service provided by DATASAFE™. With DATASAFE™ integration your valuable data can be transferred from your premises over a secure, encrypted, internet tunnel to dedicated and secure servers where it can be retrieved at the click of a button in case of data loss.
